Sanitary and Epidemiological Safety Procedure prepared for the Impact’21 event.

I. ENTRY TO FACILITY

1. There are two possible entry paths to the event, each with a separate, marked entrance.

A) Fast track – Entry A – for persons with a Certificate, i.e. for persons who have been issued with a certificate of vaccination against COVID-19 with a vaccine authorized in the European Union, subject to mandatory presentation and verification upon entry to the premises:

  • The participant goes directly to one of the registration points available at entrance A, where the ticket entitling the participant to participate in the event is verified, as well as the QR code generated from the Internet Patient Account or a paper certificate issued after vaccination at the Vaccination Center, confirming the receipt of full vaccination.
  • After presenting the document confirming vaccination, the participant is marked in the system and receives an ID and protection kit (mask, liquid for hand disinfection).
  • If the participant does not consent to the presentation of a vaccination certificate, he will be directed to entrance B, where he will be able to test for COVID-19.

B) Regular path – Entry B – for people without a Certificate, i.e. for people who do not meet the condition specified in point (a). AND; the number of these people is limited in accordance with applicable law, introduced by governmental authorities in connection with the COVID-19 pandemic:

  • Before entering the facility, a paramedic will perform a COVID-19 test by taking a nasopharyngeal swab. The result of the antigen test is available after approx. 15 minutes, during which the participant waits before entering the facility.
  • After obtaining a negative result, the participant succeeds to the facility, to one of the registration stands at the entrance of B Poznań Congress Center.
  • During registration, each participant presents a ticket with a QR code, entitling to participate in the event, and a certificate of a negative COVID-19 test result.
  • After scanning the correct code, it is marked in the system and receives an identifier and protection kit (mask, hand sanitizer).
  • In case of a positive test result, admission to the event will not be possible. Then follow the instructions of the paramedic.

C) The Protection kit is a pre-prepared, disinfected kit with a protective mask and a small hand disinfectant.

D) We encourage all participants, even those who are vaccinated, to take a free COVID-19 test at the entrance B.

II. TECHNICAL DESCRIPTION OF POSITIONS

At all registration stands there will be signs indicating the correct places to wait for their turn, with a distance of 1.5 m.

  1. Test point:
    • the physician performing the test is equipped with a surgical mask (replaced every 4 hours) and gloves.
    • hand disinfectant at the stand.
  2. Registration stand. Registration
    • stands and a security point, set up in a way that allows the staff to keep an appropriate distance, equipped with computers. Each station is equipped with plexiglass, separating the
    • participant from the service, and a hand disinfectant.
    • When registering, there is also a station with masks and hand disinfection.
    • The protection kit includes:
      • a protective mask
      • a small gel for hand disinfection.
    • Persons issuing the protection kit equipped with gloves and a surgical mask (replacement every 4 hours), limitation of contact, ie the issue of the protection kit without unnecessary interaction with the participants.

IV. VENUE

  • Hand sanitizer stations readily available at the venue.
  • In the venue, with the exception of coffee and catering zones and during stage performances, it is absolutely obligatory to wear protective masks.
  • Arrangement of all spaces, including meeting rooms, and arranging furniture in them, adapted to the current social distance guidelines (allowing a distance of 1.5 m to be maintained).
  • There will be stations with a place to replace masks and the possibility of getting a small disinfectant liquid on the site.
  • The regulations of the event include information on the recommended social distance – 1.5 m.
  • Regular disinfection of seats and tables.
  • Presence of a medical team trained in the procedures for counteracting COVID-19.
  • Clean-up personnel delegated to verify participants’ compliance with recommendations, including control of the wearing of protective masks. 
  • Service:
    • mandatory antigen testing for those working at the event. For people coming from outside of Poznań, it is possible to take the test before departure;
    • providing masks and lotions for disinfection;
    • varied break times;
    • temperature measurement and health monitoring;
    • separate coffee area for staff.
  1. Coffee zone:
    • serving meals and drinks directly by the staff wearing masks and gloves;
      • people present in the facility may use the coffee area only while maintaining an appropriate distance;
    • application of the hygienic and epidemiological requirements contained in the guidelines for gastronomy;
    • hand disinfectants available in the zone;
    • regular disinfection of a place abandoned by the previous person;
    • no leaving the areas with food or drinks;
    • a mask should be put on when leaving the zone.

 

  1. Toilets:
    • liquid soap and paper towels;
    • posting instructions on how to remove and put on masks and gloves;
    • posting instructions on how to properly wash your hands;
    • posting instructions on proper hand disinfection;
    • increased frequency of cleaning toilets;
    • hand disinfection station, masks.

v. OTHER ACTIVITIES ORGANIZER

  • gather the necessary personal and contact details of all participants, with their agreement, in the event that any of the participants or staff events / meetings of SARS COV 2 coronavirus infection;
  • informing participants both before the date of the speech (e.g. via digital means) and at the very beginning of the speech about the procedures applied for counteracting coronavirus infection;
  • the participant will be instructed in advance that in the event of any alarming symptoms that may indicate an infection on the day of the meeting, the participant should not come to them, and should stay at home;
  • mandatory training service staff / suppliers in terms of the procedures used to counteract COVID – 19 used in the organization of the event / meeting espólnie, taking into account the participants hands-free operation;
  • limiting the number of service personnel / meeting events to the necessary minimum.
